Fire Sprinkler Deficiency Report: What Should You Do Next?
You received a fire sprinkler deficiency report after an inspection. Now what?
Some reports contain only a few simple repairs. Others include pages of findings, technical terms, and little guidance about what you should address first.
Do not simply approve every item without reviewing it. First, find out which conditions may affect your building’s protection now. Then identify which repairs you can plan and which findings need more information.
A good review turns the inspection report into a clear action plan. That plan can help you protect the building, control repair costs, track completed work, and prevent the same problems from appearing next year.
Understand Your Fire Sprinkler Deficiency Report
A fire sprinkler inspection documents the condition of the system on the day of the inspection. The inspector may find damaged equipment, missing parts, overdue tests, blocked access, or equipment that does not work as intended.
However, not every finding creates the same level of risk. A report may contain:
- Noncritical deficiencies: These conditions need repairs, but they do not necessarily prevent the system from working.
- Critical deficiencies: These conditions may have a serious effect on system performance but do not rise to the level of an impairment.
- Impairments: These conditions leave a system, or part of it, out of order. As a result, the system may not work during a fire.
- Recommendations or observations: These items may need attention even if the inspector does not list them as formal deficiencies.
NFPA 25 provides the inspection, testing, and maintenance requirements for water-based fire protection systems.
An impairment requires a different response from a routine repair item. If your report shows that any part of the system is impaired or out of service, begin the required impairment procedures right away.

Step 1: Confirm That the System Is in Service
Before you discuss prices or schedule routine repairs, ask one direct question:
Is the fire sprinkler system currently in service and able to work as intended?
If the answer is no—or the report does not provide a clear answer—contact a qualified fire sprinkler contractor promptly.
A closed control valve, failed fire pump, disabled water supply, frozen pipe, or another serious condition may require immediate action. The building owner or manager may also need to contact the fire department, alarm monitoring company, insurance carrier, tenants, or other responsible parties.
Do not assume that every marked item creates an impairment. At the same time, do not allow a true impairment to sit unnoticed inside a long repair list.

Step 2: Prioritize Your Fire Sprinkler Deficiency Report
After you confirm the system’s operating status, divide the remaining findings into practical groups.
Immediate Action
These items include impairments, serious losses of protection, active leaks, unsafe equipment, or other conditions that should not wait for the normal repair process.

Correct Promptly
These deficiencies may not place the system out of service today. However, delays could reduce system reliability, allow damage to worsen, or cause a future impairment.
Examples may include damaged sprinklers, corroded parts, leaking valves, missing signs, or alarm equipment that fails to operate correctly.
Plan and Budget
Some repairs require access planning, special-order materials, design work, permits, planned shutdowns, or larger budgets.
Assign each of these items to a responsible person and set a target date. “Not urgent today” should not become “forgotten until next year.”
Needs More Information
A contractor should not guess when the inspection report lacks important details.
Some findings require photographs, model numbers, measurements, more testing, or another site visit. The contractor may need this information before preparing an accurate repair scope.
Step 3: Make Sure the Repair Quote Matches the Finding
A repair quote should do more than repeat the wording from the fire sprinkler deficiency report. It should explain what the contractor plans to correct and provide enough detail for you to understand the work.
Before you approve a quote, look for:
- The affected building, system, and location
- The part or condition that needs correction
- The proposed repair or replacement
- Known shutdown, access, lift, permit, or fire-watch needs
- Items that require more investigation
- Assumptions or exclusions that may affect the final cost
If you manage a portfolio or campus, ask the contractor to organize deficiencies by building and priority. This approach helps you approve urgent work, group similar repairs, arrange tenant access, and plan future costs.
Step 4: Prepare for the Repair Visit
Many repair delays have little to do with the repair itself.
For example, a technician may arrive and find a locked room, storage blocking the work area, no lift on site, or no one who can approve a system shutdown.
Before the scheduled repair date, confirm:
- Access to every affected area
- Required tenant and facility notices
- The person who can approve the shutdown
- Whether someone must place the alarm monitoring account on test
- Any need for lifts, escorts, or special equipment
- Any effect on production or normal building operations
Good planning shortens the shutdown and helps prevent extra trips.
Step 5: Document Every Completed Repair
After the contractor completes the work, keep records that connect each repair to the original finding.
Those records may include a service ticket, repair report, photographs, test results, permit closeout, or updated deficiency list.
Your records should show:
- Which deficiency the contractor corrected
- Where the contractor performed the work
- When the contractor completed it
- How the contractor tested the repair
- When the system returned to service
- Which items remain open
These records can help during future fire sprinkler inspections, fire marshal visits, insurance reviews, property transactions, and budget meetings.
Step 6: Find the Cause, Not Just the Failed Part
Replacing a failed part may correct the immediate deficiency. However, repeat findings often point to a larger maintenance problem.

Do not focus only on clearing the current report. Instead, look for ways to improve system reliability and reduce future emergency work.
Corrosion and Pinhole Leaks Require More Investigation
A pinhole leak may look like a small, isolated repair. However, it can also indicate corrosion or deterioration affecting a larger section of sprinkler piping.
Repairing the visible hole may stop the immediate leak, but it does not explain why the pipe failed. The contractor may need to inspect nearby piping, review the system’s history, or recommend additional investigation.
